Invoice reminder FAQ for creative agencies

Answers about Gmail invoice reminders, overdue invoice follow-ups, retainers, templates, pricing, and client trust.

Security & Gmail

How does RemindGently work with Gmail?
We use Google's official OAuth2 connection to link securely with your business mailbox. We never see or store your password. We only request the permissions needed to send reminders on your behalf. Your personal emails, drafts, and inbox history remain private.
Does RemindGently read my inbox or client replies?
No. RemindGently works on a forwarding basis, so we only see the invoices you choose to send to us for tracking. We do not access your private conversations, inbox history, or client replies.
Can I disconnect Gmail?
Yes. You can disconnect Gmail from your account settings or revoke access from your Google account. Once disconnected, RemindGently cannot send new reminders from that mailbox.
Is RemindGently GDPR compliant?
We are building RemindGently with privacy-first data handling in mind. We only process the minimum information needed to track invoices and send reminders, such as client name, amount, and due date. We do not sell or share your billing data with third parties.

Workflow & Invoicing

Can I use RemindGently with QuickBooks, FreshBooks, or manual invoices?
Yes. You do not need to change how you send invoices. Whether you use QuickBooks, FreshBooks, or manual PDFs, you can BCC or forward the invoice to your unique RemindGently address. This lets you decide which clients and invoices enter the follow-up flow. See the full workflow for details.
Can I control when reminders are sent?
Yes. Every client relationship is different, so you can choose your own reminder timing. For example, you might send a gentle nudge 2 days after the due date and a firmer follow-up at 14 days. You can also review or cancel scheduled reminders before they go out.
Can I use it for retainers and milestone invoices?
Yes. RemindGently works for one-off invoices, monthly retainers, and milestone invoices. You can track each unpaid invoice and choose reminder timing that matches the payment type.
Can I edit reminder templates?
Yes. You can review and edit reminder wording before anything sends, including the subject line, tone, and invoice-specific details.

Agencies & Results

Is RemindGently built for creative and marketing agencies?
Yes. Agencies and studios have to balance client trust with clear administrative boundaries. We built RemindGently for teams that want to reduce payment chasing without sounding cold or transactional. Learn more about our agency-specific approach.
Why send invoice reminders from my own email address?
A reminder from your own Gmail feels more personal and more familiar than a generic notification from an accounting tool. It is also more likely to be noticed and responded to while keeping the client relationship intact.
Is this debt collection software?
No. RemindGently is for polite invoice reminder follow-up and payment administration. It is not a debt collection agency, legal service, or collections enforcement tool.
What happens when a client replies?
Replies go to your Gmail inbox because reminders are sent from your connected Gmail account. You can then handle the client response directly.

Pricing & Plans

How much does RemindGently cost?
Plans start at $19/month with the Solo plan. The Agency plan is $49/month with tracking and review, and the Team plan is $99/month for larger operations. See our pricing page for full details.
Can I cancel anytime?
Yes. There are no long-term contracts. You can cancel or downgrade your plan at any time from your dashboard settings.
Is there a free trial?
No. RemindGently is a paid product from launch, with plans starting at $19/month. You can create an account to choose the plan that fits your workflow.
